    Overview

     

    BDO is looking for an Executive Assistant to support the partners and managers of our Charlottetown office. To be successful in this position, the candidate must be results oriented, effective at prioritizing multiple tasks at various levels, and take the initiative to continuously look to improve the efficiency within the Charlottetown practice. The candidate will play an integral part of operations within this group.

     

     Key Accountabilities and Responsibilities:

    • Provide direct administrative support to the partners and managers within the Charlottetown office
    • Provide effective communication with the office team on various business matters
    • Coordinate work schedules, vacation & absenteeism for team and keep the partner informed.
    • Prepare engagement letters, formal reports, proposals, presentations using Microsoft Office and Adobe suites
    • Preparation of financial statements and related documents using CaseWare/CaseView or MS Word up to and including the finished product
    • Check working paper files for sign-off on specific forms and documentation completion including follow-up with partners/managers when not signed/complete
    • Provide quality control regarding visual presentation of formal reports, proposals, presentations and client correspondence
    • Assembly of corporate tax returns and appropriate client instruction letters
    • Assembly of personal tax returns including cross-checking information from T-slips, receipts and other attachments to the T1 schedules
    • Provide back-up support to reception and assistance to other administrative staff as required
    • Photocopying, filing, assisting with client mail-outs and other general administrative duties as required
    • Create and finalize communications for internal and external use including marketing presentations as per BDO guidelines
    • Input and review expense reports and submit through BDO ‘s internal system
    • Enable employee time reporting through the creation of new clients in the BDO internal timesheet system (Workday); the entry of charge out rates; and the application of write offs, as directed by management
    • Maintain and organize a record of all key client communications
    • Coordinate details related to internal/external meetings including catering, supplies, etc.
    • Produce meeting minutes and distribute to relevant groups
    • Assist with new hire onboarding
    • Produce and send invoices to clients
    • Follow up on some A/R matters with the direction of our collections personnel - write offs, write ups, reserves, collections
    • Produce work in progress (WIP) analysis reports for partners and managers
    • Manage a partner calendar - travel, meeting, etc. – and monitor for conflicts
    • Track filing deadlines and communicate to partners and the team
    • Overtime may be required during tax season

     

    Education and Professional Skills/Knowledge:

    • 3-5+ years of experience supporting executives would be an asset
    • Must have post-secondary education
    • Proficient with Microsoft and Adobe suites
    • Strong Microsoft Word, Excel and PowerPoint skills/experience
    • Previous experience working in an accounting firm would be an asset
    • Able to work under pressure and meet deadlines
    • Able to work independently or as part of a team
    • Must have excellent interpersonal skills and able to liaise with clients and staff
    • Creative problem solving skills
    • Proven ability to work within a confidential environment
    • Must be well organized and have the ability to multi-task
    • Flexible in work hours and taking on additional duties as assigned
    • Must be a team player
    • Must be interested in learning new software and open to both internal and external training programs
    • Positive and responsive
