    Position Summary

     

    BDO's Stratford office is looking for a full time Receptionist to join our team. The candidate must be flexible and adaptable to the multiple requirements of the role, and possess an ability to work independently and within a team environment.

     

     

    Key Accountabilities and Responsibilities

    • Receive and route calls, provide directory assistance and direct inquiries to proper department or individual
    • Greet clients as they enter the office
    • Book boardrooms for meetings as requested and coordinate catering requirements
    • Ensure reception area is opened/closed appropriately and security requirements are set each night
    • Maintain cleanliness/presentation of meeting rooms and reception area. Ensure desk area is tidy and confidential documentation are handled appropriately ie. client packages, mail, etc.
    • Provide administrative support as needed to Partners/Departments
    • Manage courier requirements for delivery and pickup, including signing for couriers, completing the waybills and other necessary documentation, maintenance of log books for tracking purposes; 
    • Maintain postage machine, distributing mail, faxes and courier packages.  Deliver out-going mail to mailbox at the end of the day
    • Ensure reception desk/area is equipped with appropriate office and marketing supplies
    • Process client credit card payments, write receipts and record incoming money
    • Assist administrative staff as required to provide a wide range of administrative support duties, including but not limited to, typing memos, letters, reports, maintaining calendars, coordinating travel arrangements, filing, photocopying;

     

    Education and Professional Skills/Knowledge

    • Related post-secondary diploma is an asset
    • Minimum two years’ experience in a professional reception role with a multi-line switchboard and general administrative duties
    • Knowledge of office specific software such as Microsoft Office (Outlook, Word, Excel and PowerPoint)
    • Must have excellent interpersonal skills and be able to liaise with clients, staff and outside parties in a professional manner
    • Able to work under pressure and excellent attention to detail with an ability to prioritize multiple requirements and deadlines
    • Must be able to deal with confidential matters appropriately
    • Enthusiastic, positive attitude and exemplary customer service skills
    • Must be able to adapt to on-going changes and growth in the role and duties
    • Ability to stay organized within a busy work environment
    • This role will require the ability to work extra hours from time-to-time, per business requirements
