Position Summary

 

Our Orangeville office has an opening for a part-time Administrative Assistant.  The candidate must be adaptable to the multiple requirements of the role and possess an ability to work independently and within a team environment. The Administrative Assistant is responsible for client needs and general administrative requirements.

 

 

Key Accountabilities and Responsibilities

  • Answering incoming calls and greeting clients as they enter the office
  • Providing a wide range of administrative support duties, including but not limited to, typing memos, letters, reports, sending faxes, mailings to clients, maintaining calendars, coordinating travel arrangements, filing, photocopying
  • Booking boardrooms for meetings as requested and coordinating catering requirements
  • Monthly invoicing
  • Printing financial statements and tax returns
  • Filing and administration of corporate tax, personal tax and GST/HST returns
  • Client and contact database management
  • Providing assistance to partners and staff as assigned
  • Other special projects as needed
  • Overtime will be required during tax season

 

Education and Professional Skills/Knowledge 

  • Superior knowledge of office specific software such as Microsoft Office (Outlook, Word, Excel and Powerpoint)
  • Able to learn and adapt quickly to new programs, such as Caseview, Taxprep etc
  • Able to work under pressure and meet deadlines
  • Must have excellent interpersonal skills and be able to liaise with clients, staff and outside parties in a professional manner
  • Must be able to deal with confidential matters appropriately
  • Must be organized and have the ability to multi-task
  • Must be able to work independently and as part of a team
  • Minimum 1-2 years experience in a reception/professional administrative role
  • Previous Accounting Firm experience preferred
